Learn how information is collected, used, stored, and protected when hotels use HotelMate and related services. Below you can read how hotel information, staff records, subscriptions, and operational data are handled in HotelMate.

1. Information We Collect

When you use HotelMate, we may collect:

  • Hotel information such as hotel name, hotel ID, logo, and settings
  • Staff information such as names, PIN-based login records, and role information
  • Operational data such as room status, building information, and floor setup
  • Technical information required for app functionality, such as device-level session state and Firebase service data
  • Email address information used for activation, account communication, and support where applicable

2. How We Use Information

We use information to:

  • Provide real-time synchronization between reception, maintenance, housekeeping, and management
  • Manage hotel setup, staff access, and hotel-specific settings
  • Store and manage operational logs where needed for app functionality
  • Support subscriptions, trials, activation, and account-related flows
  • Maintain app security, stability, and service reliability

3. Cloud Services

HotelMate uses third-party cloud services, including Firebase, to store and process data such as settings, staff records, room status data, and related operational information.

4. Subscription and Billing

Subscriptions are processed by Apple through In-App Purchase and Subscriptions. We do not collect or store your full payment card information.

5. Data Sharing

We do not sell personal information. We may share data only with service providers necessary to operate the app, such as cloud hosting, analytics, email delivery, and subscription infrastructure.

6. Data Retention

We retain data for as long as necessary to provide the service, comply with legal obligations, resolve disputes, and enforce agreements. Operational records may be archived or deleted according to app usage and retention needs.

7. Data Security

We take reasonable technical and organizational measures to protect app data. However, no system can be guaranteed to be 100% secure.

8. Your Choices

You may request deletion of a hotel workspace through the app’s management features or by contacting us. You may also cancel your subscription at any time through your Apple account subscription settings.

9. Children

HotelMate is intended for hotel and business operations and is not directed to children.

10. International Use

Your data may be processed in countries where our service providers operate.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Updated versions will be posted on this page with a revised effective date.
